EXECUTIVE BOARD INFORMATION
Midwest Writing Centers Association
Board Members' Duties
(Revised to reflect changes made November 8, 1997)
The allocation of members' duties is open to annual negotiation between members and duties may change at the discretion of board members and will be taken by board members in addition to the duties of that position.
Chair (official board position)
- Schedule meetings, plan agenda and inform board members
- Chair board and general meetings providing introductions
- Coordinate board members' work
- Write the "The Chair's Report" for the MWCA newsletter
- Write thank-you letters after conference (e.g. host school's dean, president,
- epartment chair, keynote speaker)
- Oversee Board activities
- Assist in preparing Proceedings with the rest of the board
Vice-Chair/NWCA Representative (official board position)
- Assist the chair and perform duties as assigned
- Announce board member openings and receive applications
- Help keep the MWCA database of members updated
- Attend annual NWCA board meetings at NCTE or CCCC to represent MWCA
- Report news of the MWCA to the NWCA
- Bring news from the NWCA back to the MWCA; this includes during the year, not just after the conferences
Treasurer (official board position)
- Monitor MWCA accounts and perform duties as assigned
- Pay MWCA expenses
- Receive and deposit registration/membership fees
- Coordinate conference registration
- Finalize Pre-registration Report
- Prepare Treasurer's Report
Secretary/Archivist (official board position)
- Take regular board and business meeting minutes (most of which are from conference calls); distribute these minutes to the board and then make corrections as needed
- Keep a file of all MWCA minutes and other records, including all on-line correspondence during the year by the board
- Take care of all MWCA correspondence as requested by Chair
- Keep a record of correspondence
- Perform other duties as assigned
- Keep proceedings copies, old correspondence file, newsletters and the MWCA scrapbook
Publicity Coordinator (official board position)
- Design, prepare, and mail our newsletters
- Mail the call for papers
- Set up our Website
- Plan additional local publicity
- Sent notice of MWCA meetings to appropriate publications
- Correspond with Writing Lab Newsletter and Writing Center Journal
Program Chair/Chairs
- Prepare and report on conference evaluation forms
- Make all arrangements for the conference program
- Call for, receive, and select (evaluate) conference presentation proposals; notify presenters of their selection or acceptance for the program
- Work with local site arrangements chair
- Prepare announcements and articles about the conference for the newsletter and other appropriate journals (many of these duties are now done by the publicity coordinator)
- Finalize and proof program, assisted by selected board members
- Oversee conference program printing
- Work with treasurer to coordinate registration
- Arrange for chairs and recorders for conference sessions
Host/Local Arrangements Chair or Chairs (Committee)
- Do work supplemental to program chair (e.g. local arrangements, rooms, equipment)
- Arrange for board meetings at the host site
- Record conference details at its conclusion
- Gather details of transportation, list restaurants and participants
- Coordinate, with Program Chair, all arrangements for meeting rooms, hotel accommodations, meals, (luncheon, continental breakfasts, drinks and snacks between sessions, and brown bag meal)
- Arrange special presentation details
- Publicize call
